Cancellation and refund policy
Because nothing here renews by itself, cancelling is not the stopping of a charge to come. This document says what happens to your access and to your money in each case, and says plainly the case in which money is not returned.

No automatic renewal, no stored card
The system stores no card and takes money from nobody's account. A subscription extends only when you pay and your payment is recorded with its method and reference number.
Which means you do not need to cancel in order to prevent a charge: stopping paying is itself the stopping.

The cycle, the warning, and the grace days
The cycle is thirty days. Five days before it ends a warning appears in the system, and after it ends you have five grace days in which everything works exactly as before.
If you record the renewal inside grace it counts from the end of your previous cycle rather than from the day you paid, so you lose none of the days you paid for. After grace, access stops until a renewal is recorded — and nothing is deleted.

Stopping without asking for anything
The simplest route: do not renew. You use your paid days in full, then the grace days, and then access stops by itself. There is no form to fill and no call to wait for.

Asking to cancel now
A cancellation on request stops access the moment it is applied, and the reason you wrote is recorded with it. Ask for it when you want it to stop now — a clinic that has closed, or an account moving to another party.
And here is the sentence that has to be clear before you ask: cancelling before the end of the cycle does not return the value of the remaining days. If all you want is to stop, use your days and then do not renew.

A mid-cycle capacity increase is prorated
If you need another doctor, another branch or a higher booking capacity before your cycle ends, the difference is not charged as a full cycle: it is charged in proportion to the days left out of the thirty, and appears by name in your payment statement with the fraction it was calculated at.
The difference is collected before the new limit is switched on, so no limit starts working unpaid.

Reductions and other changes take effect next cycle
Reducing the number of doctors or assistants, or dropping a line such as the booking assistant, is recorded and applied at the next renewal rather than mid-cycle, and does not come with a return of part of the current cycle.
The reason is simple: the current cycle is paid for at the limits the clinic has actually been working with.

A duplicated payment, or one applied to the wrong account
This is the one case in which money comes back, and it is a mistake being fixed rather than an exception being granted: paid twice, recorded against another clinic's account, or an upgrade difference collected for an upgrade you cancelled before it was switched on.
Tell us the payment's reference number and date, and the choice is yours: credited to your next cycle, or returned by the same route it arrived. The correction is recorded in your payment statement so it leaves a written trace.

Your data after you stop
The system erases nothing by itself when a subscription stops: there is no scheduled job that deletes a clinic's data. Your files stay as they are, and if you come back you will find them.

How to ask for any of this
From the support page, with a ticket carrying the clinic's name and exactly what you want: a cancellation, a payment correction, or a copy of the data. With a payment correction, write its reference number and date.
The answer comes in writing in that same conversation and stays there, so what was agreed does not depend on anyone's memory.
Before you ask to cancel
If the reason for stopping is something in the system itself, write it to us as a ticket first. Most of what gets cancelled is something that can be fixed or set differently, and asking costs you nothing.
