Terms

Terms and conditions

The terms for running your clinic on this system, written with the values the system actually enforces: a thirty-day cycle, a warning five days before it ends, and five days of grace. The clauses are numbered so one can be cited by its number.

  1. 01

    Between whom

This agreement is between the subscribing clinic — represented by the owner who opened the account — and the party operating atmta clinic. Using the system after the account is opened is acceptance of these terms as published here.

  2. 02

What this system is, and what it is not

It is a working record: it holds patient files, appointments, visits, prescriptions, stock and accounts, and shows them to whoever their role permits.

It is not a medical provider. It does not diagnose, it does not prescribe, and it does not stand in for a doctor's judgement. The clinical decision and the responsibility for it belong to the treating doctor whose name appears on the prescription.

  3. 03

    Who may open an account

A clinic or a practitioner licensed to practise in their country. The details entered when the account is opened — the clinic's name, the person responsible, the contact details — are the responsibility of whoever entered them, and everything after them is built on top: invoices, permissions and records.

  4. 04

What the clinic is responsible for

Entering its patients' data as the law allows and with the patient's knowledge, giving every member of staff their own account rather than a shared one, and revoking access for anyone who has left.

And checking what leaves the system before it is handed over: a prescription, an invoice or a report is printed from data people entered, and reviewing it before giving it to a patient is the clinic's job.

  5. 05

    The subscription and its cycle

The cycle is thirty days and starts when the payment is recorded. The lines you subscribe to are your limits: how many clinics, doctors and assistants, monthly bookings, patient capacity, and the AI assistants if you add them.

Five days before the cycle ends a warning appears, and after it ends you have five days of grace in which the system works exactly as before. After grace, access stops until a renewal is recorded. What happens to the money is set out in the cancellation and refund policy.

  6. 06

No automatic charge, no stored card

The system stores no card and takes money from nobody's account by itself. Every payment is recorded here with its method, its reference number and its date, and the renewal takes effect once it is recorded.

If a renewal is recorded inside the grace window it counts from the end of your previous cycle, so you lose none of the days you had paid for.

  7. 07

    Availability and maintenance

This document states no uptime percentage, because we do not publish a figure we cannot prove to you. What we do commit to: announcing planned maintenance before it happens, telling subscribing clinics about any interruption whose extent we know, and treating support as the way to report an interruption you see before we do.

  8. 08

The assistant prepares; the person responsible accepts

The booking assistant and the clinic assistant are two optional lines on the subscription, and using them is a doctor's permission rather than something available to everyone who opens the system.

What the assistant suggests is a draft: it enters no patient file and no appointment book until the person responsible accepts it themselves, and consumption counts against your subscription's limit and stops there.

  9. 09

    What is not allowed

Attempting to reach another clinic's data or to test a vulnerability against live data that is not yours; making the account available to a clinic not named on the subscription; entering data you have no right to enter; or using the system for any purpose against the law or against professional ethics.

  10. 10

    Suspending an account

We may suspend an account that threatens another clinic's data or repeatedly breaks the clause above. In every case we write down the reason for the suspension and what is needed to lift it, and the clinic keeps the right to ask for its data.

  11. 11

    Ending the relationship

You may stop at any time: either by not renewing, in which case access stops after the grace days, or by asking for cancellation, in which case access stops the moment it is applied.

In both cases the system erases nothing by itself; your data stays until you ask in writing for it to be exported or deleted, as set out in the privacy policy.

  12. 12

The operating party and settling a dispute

The operating party's commercial details, its registration and the governing law are sent in writing on request from the support page. Any dispute is first raised as a support ticket, so the answer to it is written down and dated before any further step.

A clause you want clarified before subscribing?

Write its number in a support ticket before you pay, not after. The answer comes in writing in that same conversation, and stays there for you.
